Manager, Networking and Membership
Help Us Grow Our Vibrant Global Network of Women Journalists
The International Women’s Media Foundation, a global network of women in the news media, is looking for a manager, networking and membership, to help us grow our vibrant international network of women and men in the news media. The manager is responsible for increasing the size of the network by marketing the IWMF to individual journalists and supporters and creating networking activities to keep the network active, including developing marketing plans, coordinating events in the U.S. and internationally and creating an online community on the IWMF website. Qualifications: Three to five years experience working in the media, either as a journalist or as a marketing or public relations specialist. Bachelor’s degree in journalism, English, international relations, communications or a related field, with specific experience developing marketing programs, either for the media, non-profit organizations or similar organizations. Demonstrated experience writing for and developing programs for the World Wide Web and ability to effectively use a website as a communications tool to build an online community. Experience in the international media or living internationally a plus. Language skills a plus.

Finance and Administration Assistant
Position Summary
This position performs basic bookkeeping duties and task-oriented details supporting the financial activities of the International Women’s Media Foundation, ensuring compliance with the organization’s financial policies and procedures. Performs receptionist and office administration responsibilities; answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, and requisition of supplies as well as additional clerical duties. Primary Responsibilities
1) As Finance Assistant: Perform bookkeeping and accounting functions to include:
- Accounts Payable
- Post incoming invoices/bills
- Assure proper documentation, approval and coding of invoices/bills
- Collect receipts from American Express purchases
- Prepare checks for payment of bills
- Maintain supporting paperwork/documentation in files
- Pledges and Grants Receivable
- Post journal entries for incoming pledges and grants
- Reconcile outstanding pledge & grant listing at least quarterly with Director of Programs
- Prepare Bank Deposits and Process Credit Card Payments
- Prepare daily bank deposits
- Post deposits into accounting system
- Maintain supporting paperwork/documentation files
- Collect, maintain and summarize semi-monthly employee timesheets and paid time-off reporting.
- Summarize quarterly time reporting from all employees, review for completeness and accuracy.
- Perform reconciliation’s and paper file management under the supervision of the Director of Finance and Administration.
- Meet and greet guests in a welcoming and friendly manner.
- Answer all telephones, representing IWMF with enthusiastic, professional telephone skills.
- Refer callers to the appropriate employee, handle the requests in a timely manner, or take thorough, detailed, and readable messages.
- Maintain a clean and organized reception area and office.
- Serve as organization’s primary resource for general foundation and related information, acquiring and maintaining sufficient knowledge and expertise to answer a wide variety of caller questions.
- Answer routine caller questions and refer more detailed questions to appropriate staff members.
- Perform computer support, such as backing-up computer network troubleshooting computer problems, and contacting vendors as needed.
- Arrange and coordinate travel reservations for IWMF staff.
- Order office subscriptions and supplies.
- Maintain supply and equipment inventory, assisting in the ordering, receiving, stocking and distribution of office supplies.
- Perform word processing and other computer applications as requested, using a variety of software products to complete projects, including: Word, Excel, Peachtree, QuickBooks, etc.
- Arrange for courier pick-up and delivery.
- Perform filing on a daily basis, keeping files organized for easy retrieval of documents and materials.
- Perform copying, faxing and other administrative duties as needed or requested.
Desired Education and Experience
- Bachelors degree or equivalent training
- 2 or more years of administrative work experience, including basic bookkeeping experience
- Knowledge of and experience in non-profit or foundation environment
- Commitment to work as a team member, communicating directly, and build IWMF’s positive work culture
Knowledge, Skills and Abilities
- Experience with word processing, spreadsheets, database, and email and accounting computer applications, Peachtree and QuickBooks preferred.
- Excellent interpersonal communication skills and relationship building skills to effectively work with a diverse group of people and personalities, including developing relationships with vendors, Board members, volunteers, staff and foundation constituents.
- Able to communicate clearly in person and in writing.
- Able to display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the IWMF organization.
- Strong general office and organizational skills, filing, setting up and maintaining systems to support the foundation.
- Detail-oriented and able to meet multiple deadlines. Able to manage multiple tasks and projects simultaneously , in an environment with frequent interruptions.
- Experience with office equipment, including copiers, faxes machines, and programmable telephone systems.
- Sufficient computer hardware/software knowledge to back-up network and troubleshoot basic computer problems.
- Ability to plan, prioritize, coordinate, and manage own work.
- Applies effective time management skills in order to meet all deadlines.
- Able to work unsupervised and make decisions and solve routine problems independently, effectively and creatively. Also, able to take direction from a variety of individuals.
- Displays flexibility to meet organization’s unique needs. Works with a proactive, ownership approach to work and operates with a sense of urgency.
